POSITION SUMMARY

We seek a self-motivated, highly detail-oriented, and energetic project specialist to play a fundamental role in advancing the ministry’s comprehensive capital campaign and corporate communications program. Reporting to the Senior Director of Marketing, this role is responsible for orchestrating the smooth flow of all communications tasks and capital campaign projects for Global Media Outreach (GMO). This role acts as the central connector, logistics planner, and scheduler between internal and external creative teams, fundraising development staff, executive-level subject matter experts, and key stakeholders to ensure timely communication and seamless delivery of projects while managing task timelines, budgets, and resource allocation.

Routine tasks include meeting coordination, project planning, fundraising campaign data reporting, and campaign assignment management. In the first 12 to 18 months, more time will be spent coordinating projects related to the capital campaign, with a gradual transition into a full-time focus on coordinating brand and corporate communication programs.

KEY RESPONSIBILITIES

The following responsibilities support projects across two teams (marketing communications and development).

  • Develop detailed project plans, including timelines, milestones, and deliverables for capital campaign components and communications projects
  • Assign tasks to appropriate team members across the organization and external stakeholders, managing workload and dependencies with professionalism and diplomacy
  • Monitor progress and provide data-driven reporting for campaign-related deliverables, marketing projects, and communications programs. This includes identifying potential roadblocks and proactively addressing issues to maintain project momentum
  • Conduct regular status meetings with teams to review progress, address concerns, and ensure alignment with project goals
  • Utilize project management tools to track project status, deadlines, and resource allocation across all marketing initiatives
  • Prioritize projects and tasks based on strategic value, mission-critical focus, and ministry needs, managing workflow to optimize team efficiency and prioritize GMO’s annual goals and objectives
  • Communicate project updates and changes clearly to relevant stakeholders, including internal teams, external partners, and vendors
  • Identify bottlenecks in the workflow and implement process improvements to streamline project execution
  • For communications and brand projects, provide impeccable service to internal clients across the organization, partnering with them to build project plans that meet their audience-specific objectives on budget and on time
  • Manage stakeholder expectations and address any concerns throughout the campaign or project lifecycle
  • Track communications and campaign-related project budgets, monitor expenses, and identify potential cost overruns
  • Manage collateral and branded promotional items program, including sourcing, inventory, and distribution
  • Manage formatting, distribution, and proofing of campaign materials, presentation slide decks, proposals, brand communications, social media content, blog posts, and other documents as needed
  • Provide content management support to the creative and communications team, including repurposing and distributing stories, blog posts, social media posts, and other types of communications
  • Prepare regular reports on campaign and project progress, key metrics, and ROI for stakeholders. Initially, the role’s reporting requirements will focus on the following aspects of the capital campaign:
    • Manage prospect and donor information related to the campaign, including data entry and maintenance
    • Monitor campaign analytics and prospect lead generation communications to assist the major gift officers with follow-up
    • Monthly production reports on activities, potential gifts, gifts solicited but not committed, and total amount committed toward goal
    • Monthly updates of the campaign timetable
  • Cultivate a personal relationship with Jesus Christ and a commitment to living out the Great Commission
QUALIFICATIONS
  • 4 to 8 years of professional experience managing complex communications or capital campaign projects in a high-tech environment; experience working for a large, global non-profit is a plus

  • Bachelor’s degree in marketing, communications, business management, public relations, or a related field

  • Highly detail-oriented with incredible attention to detail, but capable of developing and nurturing warm, collaborative relationships in a fast-paced, high-stakes environment

  • Ability to organize complex tasks, prioritize time, drive numerous projects, and comply with deadlines with minimal supervision and interpersonal diplomacy

  • Experience coordinating or supporting major gift officers or sales executives with lead-generation programs, capital campaigns, or sales campaigns

  • Proficiency with project management software. ClickUp-specific experience is a huge plus

  • Experience with project monitoring and data reporting related to the development or sales and marketing campaigns

  • Proficiency with CRM systems (i.e. SalesForce)

  • Experience with marketing campaign platforms (i.e. HubSpot) to drive improvement and growth in key metrics is a strong plus

  • Experience supporting creative and content teams with basic reformatting skills and proofing communication materials, i.e. proficient in Canva or Adobe Acrobat
    Previous experience and/or consultation with executive-level professionals or clients

  • Exceptional verbal and written communication skills, with a demonstrated communication acumen

  • Highly motivated self-starter and collaborative team player, even under stressful conditions

  • Ability to work well with and manage multiple internal and external stakeholders and subject matter experts

  • Proven experience effectively prioritizing workload to meet deadlines and work objectives.

  • Advanced skills with standard office applications, such as Google Suite or Microsoft Office

  • Cultivate a passion for the mission of GMO and a heart for evangelism and discipleship both personally and professionally

  • Maintain a courteous, Christ-like approach to relationships and faithfully uphold GMO’s ministry in prayer
