Job Description – Executive Assistant (Part-time)



The Executive Assistant serves as an important support role to the Executive team and staff of Global Media Outreach. This position handles all facets of administrative support for individual team members and overall office administrative functions. To be successful, this candidate should be proactive, meet deadlines and communicate effectively. This position is at our Plano headquarters location.

Essential Duties and Responsibilities

  • Manage email and phone communication channels
  • Welcome guests by greeting them, in person or on the telephone; answering or directing inquiries
  • Assist in scheduling and planning meetings and corporate events
  • Assist in document and presentation preparation, proofreading and production
  • Make and change travel arrangements for staff or guests, as needed
  • Prepare routine and advanced correspondence, including mail merges and mass mailings
  • Prepare and maintain corporate calendar and staff-related scheduling
  • Track and follow up on actions items to meet deadlines
  • Electronically file and retrieve documents and materials
  • Post and reconcile expenses monthly
  • Purchase supplies for office
  • Complete other administrative tasks as assigned
  • Develop and sustain a level of professionalism among staff and clientele

Job Requirements

  • Exercise discretion, uphold strict level of confidentiality
  • Excellent organizational skills with an ability to think proactively, prioritize work, work independently and meet deadlines
  • Excellent communicator, both verbally and written, able to work with all levels of the organization
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
  • Be an active listener who can work independently, follow instructions, is detail-oriented, a team player, and works well under pressure
  • Friendly and professional demeanor

Qualifications

  • College degree preferred, or equivalent work experience supporting C-level executives
  • Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant or similar role
  • Experience with Google apps and Apple hardware a plus

This position is part-time, 25 hours per week, with weekday flexibility.  Employees are expected to actively and intentionally grow in their Christian faith and exhibit Christian character as demonstrated by their attitude, appearance and conduct as outlined in the employee handbook. All employees are required to sign Global Media Outreach's Statement of Faith.
